The personal data we need from you
Recruitment and selection:
- Personal identifiers (for example: your name, address, date of birth)
- Equality monitoring information (for example: ethnicity, religion)
- Relationship to any elected members or employees, if applicable
- Emergency contact information of those individuals you identify
- Eligibility to work
- Previous employment history
- Education and professional qualifications
- Membership of professional or government bodies
- Training courses or awards
- Referee details
- Driving licence details
- Criminal convictions and cautions including exemptions under the Rehabilitation of Offenders Act 1974
- Relevant medical information for the purpose of making reasonable adjustments to the recruitment and selection process
- Any other relevant information you wish to provide us
Contract of employment:
- Personal identifiers (for example: your name, address, date of birth)
- Eligibility to work
- Identification documents (for example: driving licence, passport, birth certificate)
- Previous job experience and qualifications (including copies of certificates and employment references)
- Any information provided by your nominated referees (which includes any relevant disciplinary actions and/or attendance and performance information)
- Licences or permits held, if applicable
- Criminal record check, if applicable
- Information about relevant medical or health conditions, including whether or not you have a disability for which the council needs to make reasonable adjustments
- Equality monitoring information (for example: ethnicity, religious beliefs and trade union membership) for the purposes of monitoring workplace equality
- Political affiliation, when in a politically restricted or sensitive job role
- Visual images, personal appearance
- The terms and conditions of your employment (for example: salary, hours)
- Details of your schedule (days of work and working hours)
- Details of your attendance at work
- Details of periods of leave taken by you, for example: holiday, sickness absence, family leave and study leave, and the reasons for the leave
- Details of any disciplinary or grievance procedures in which you have been involved, including any warnings issued to you and related correspondence
- Assessments of your performance, including appraisals, performance reviews and ratings, performance improvement plans, training information and related correspondence
- Financial information, including bank account information, tax, student loan, national insurance and pension contributions to facilitate salary payments
- Housing benefit and/or council tax support information
- Any other relevant information you wish to provide to us
Disclosure and Barring Service (DBS) criminal record checks (if applicable):
- Your name, contact details and addresses (including previous addresses)
- Your driver's licence number and relevant details
- National insurance number
- Gender
- Passport information (issue date and passport number)
Disciplinary and grievance procedures, if applicable:
- Witness statements
- Relevant correspondence/evidence (emails to/from your Hinckley & Bosworth email account)
- Social media
- Camera and tracking surveillance
- IT audit trails
- Any other relevant information you wish to provide to us
Local Government Pension Scheme (LGPS):
- National insurance number
- Name (including title)
- Sex
- Marital status
- Date of birth
- Address
- Date joined and left pension scheme
- Salary, contribution rate, and hours
- Employer, job title, and post
'Special category' personal data is collected including:
- Racial or ethnic origin
- Physical or mental health details
- Trade union membership
- Political affiliation
- Political opinions
- Offences (including alleged offences)
- Religious or other beliefs of a similar nature
- Criminal proceedings, outcomes and sentences
Where we process special categories of information relating to your racial or ethnic origin, political opinions, religious and philosophical beliefs, trade union membership, biometric data or sexual orientation (sensitive information), we will ensure that the information is anonymised so that individuals are not identifiable.
We will always obtain your explicit consent to use sensitive information unless this is not required by law. Where we are processing data based on your consent, you have the right to withdraw that consent at any time.
Other than as mentioned above, we will only disclose information about you to third parties if we are legally obliged to do so or where we need to comply with our contractual duties to you, for instance we may need to pass on certain information to a pension or health provider.
